Airtable is a relational database that non-technical people can actually build and use. That distinction matters because it means Airtable doesn't tell you how to work, you build exactly what you need. Want a CRM? Build it. Want a content calendar? Build it. Want a product launch tracker with automated status updates and linked design assets? Build it. The same platform becomes whatever system your team needs, connected through relational data that spreadsheets can't replicate.
After six months of building and operating custom systems with a 12-person team, a product launch tracker with 15 linked tables, a content operations pipeline, and a client management system. I can tell you that Airtable's power is genuine and its limitations are real. We replaced three separate tools with Airtable bases and saved money while gaining capabilities none of those tools provided individually. We ran a content tracking base on the free plan for three weeks. With 200 content pieces, each linked to 3-4 task records and team members, we hit the 1,000-record limit by week three. The limit applies per base across all tables, so complex relational models consume records fast. The free plan works for personal use and evaluation; team operations will need the Team plan quickly.

Our 12-person team operated on the Team plan for the full evaluation. At $240/month, we built three operational systems that replaced a $150/month combination of Asana, Google Sheets, and a basic CRM tool. The consolidation saved money, but more importantly, the connected data across systems created insights none of the separate tools could provide. Hidden Costs
Airtable's per-user pricing applies to editors (people who can modify data). Viewers and commenters are free on all plans. If you have 5 people building systems and 50 people viewing dashboards, you pay for 5 users, not 55. This distinction significantly affects cost calculations for organizations with many information consumers.

Relational data is the capability that separates Airtable from every spreadsheet and most project management tools. Understanding it is essential to understanding why Airtable exists.
Here's what it means in practice. Our product launch system had a Launches table and a Tasks table. Each launch record linked to 20-40 task records. When I opened a launch record, I could see every associated task, its status, its assignee, and its deadline, not because someone manually listed them, but because the relational link pulled connected data automatically. A Rollup field on the launch record calculated completion percentage by counting completed tasks versus total tasks. A Lookup field pulled each task's assignee so I could see the full team involved without opening each task individually.
The power compounds when you add more connections. We linked Tasks to a Team Members table, which linked to a Departments table. The result was a connected system where updating a single metric propagated through every linked view. Every view shows the same underlying data with different filters, sorts, groupings, and visual formats. Create a "My Tasks" view filtered to your assignments, an "Overdue Items" view showing past-due records, and a "Launch Calendar" view displaying records on a monthly calendar, all showing the same data from different perspectives.
Grid view is the default and handles 80% of daily work. It looks like a spreadsheet, with sortable columns, inline editing, and grouping by any field. Our project managers lived in Grid view because it showed the most information density. But the real magic was in creating multiple Grid views with different configurations. It's functional for project scheduling but not as sophisticated as Smartsheet's or even Monday.com's timeline. For teams whose primary need is Gantt chart project management, dedicated PM tools serve better. For teams who need occasional timeline visualization of database records, Airtable's Gantt is sufficient.

Airtable's automation engine turns your database into an active workflow system. When records change, automations trigger actions: send emails, create records, update fields, post to Slack, call external APIs.
Our most valuable automation triggered when a content piece's status changed to "Published." The automation updated the publication date field, moved the record to the "Completed" view, created a new linked record in our Analytics table with tracking fields pre-populated, sent a Slack message to the content channel with the title and URL, and updated the parent launch record's content completion percentage through a Rollup recalculation. What previously required five manual steps across three tools happened automatically in seconds.
We built 18 automations across our three bases, handling intake routing, status notifications, deadline reminders, and cross-table updates. The automation builder uses a trigger-condition-action model that's intuitive for simple workflows but struggles with complex conditional logic. You can't build if-else branches within a single automation, each condition path requires a separate automation. We built three interfaces: a product launch dashboard for executives (showing active launches with progress bars, upcoming milestones, and budget status), a content submission form for the marketing team (creating records in the content table with required fields and routing logic), and a task management view for individual contributors (showing only their assignments with status toggles and comment threads).
The executive dashboard replaced a weekly PowerPoint status deck that took 3 hours to create. Building Takes Time
The flip side of flexibility is investment. While Asana or Monday.com work out of the box, Airtable requires system design, table structure decisions, relationship modeling, view configuration, and automation building before anyone can start using it. Our product launch system took two weeks to build. An equivalent setup in Monday.com would have taken two days using templates. The custom result was better, but the time investment was real.

Each linked record, each junction table record, each audit log entry counts toward the limit. We hit 60% of our Team plan limit within four months with three operational systems. Planning data architecture upfront is essential, and that's a skill most non-technical users don't have.
Performance Degrades at Scale
Large bases (10,000+ records with many linked fields and formulas) show noticeable performance degradation. Grid views take 2-3 seconds to load. Automations occasionally delay.
